Notifications

Formbird FLEET can send you notifications by email, browser alert, or mobile push when events occur in the application โ€” such as when a booking is made for you, a fault is reported on an asset, or a work order is assigned to you.

You manage your own notification subscriptions from your account. Administrators can also manage notification subscriptions on behalf of any user.


Subscribing to a Notification

  1. Select the Account icon in the top right corner of any page to open your account settings.
  2. Scroll to the Notifications panel.
  3. Select Notification Types โ€” the dropdown that appears below the existing notifications table. Find the notification you want and select it. A configuration form opens inline below the dropdown.
  4. Tick the Active checkbox.
  5. Set any additional options for that notification (see Notification Options below).
  6. Save the changes.

To unsubscribe from a notification, open the notification from the Notifications panel and either untick Active or delete it.


Notification Options

Notification Method

Controls how the notification is delivered.

Method How it works
Email Sends to any email address you enter. Defaults to the email address on your account.
Browser Alert Appears in the top right corner of the browser while you are in the application.
Mobile Sends a push notification to your mobile device. Only available to organisations that have enabled the mobile notification integration โ€” Administrators can contact Formbird Support to enable this.

Date Range

Use the Valid From and Valid To fields to set a period during which the notification is active. Leave these blank to receive the notification indefinitely.

Only Notify For Selected

Some notifications let you limit what triggers them. For example, you can subscribe to Internal Request Creation for specific assets only, so you are not notified for every request across the organisation. Leave this blank to receive notifications for all relevant items.

The table below lists all available notifications and which account types can subscribe to them.

Asset Booking Notification Sent when a pool vehicle booking is created or updated for your account. If you have KeyWatcher access, your KeyWatcher user ID is included in the email. Driver, Operator, Technician, Supervisor, Maintenance Admin, Asset Manager, Administrator

Bookings For The Next 7 Days Sent with a summary of upcoming bookings for the next seven days. Can be limited to selected assets. Technician, Supervisor, Maintenance Admin, Asset Manager, Administrator
Daily Driver Completion Exception Sent when assets did not have a Daily Driver completed the previous day when one was expected. Administrator

External Hire Completed Sent when an externally hired asset is disposed of. Technician, Supervisor, Maintenance Admin, Asset Manager, Administrator
Fuel Card Due Sent when the first fuel card recorded on an asset is one month from expiry. Technician, Supervisor, Maintenance Admin, Asset Manager, Administrator
Fuel Card 2 Due Sent when the second fuel card recorded on an asset is one month from expiry. Technician, Supervisor, Maintenance Admin, Asset Manager, Administrator
Infringement Request Creation Sent when an Infringement Request is created. Can be limited to specific assets. Technician, Supervisor, Maintenance Admin, Asset Manager, Administrator
Insurance Due Sent when an asset's insurance is one month from expiry. Technician, Supervisor, Maintenance Admin, Asset Manager, Administrator

Lease Due Sent when an externally hired asset has one month remaining on the current lease. Technician, Supervisor, Maintenance Admin, Asset Manager, Administrator
Material Reorder Threshold Reached Sent when a material's stock level reaches its reorder threshold. Technician, Supervisor, Maintenance Admin, Asset Manager, Administrator
Non-Urgent Daily Driver Creation Sent when a non-urgent defect is reported on a Daily Driver pre-start. Can be limited to specific assets. Technician, Supervisor, Maintenance Admin, Asset Manager, Administrator
Overdue Requests Sent when a Request has not been completed by its expected completion time. Technician, Supervisor, Maintenance Admin, Asset Manager, Administrator
Overdue Work Orders Sent when a Work Order has not been completed by its expected completion time. Technician, Supervisor, Maintenance Admin, Asset Manager, Administrator
PM Service Creation Sent when a Preventive Maintenance Service Request is created. Can be limited to specific assets. Driver, Operator, Technician, Supervisor, Maintenance Admin, Asset Manager, Administrator
Police Permit Due Sent when a Police Permit on an asset has one month remaining before it expires. Technician, Supervisor, Maintenance Admin, Asset Manager, Administrator
Repair Request Creation Sent when a Repair Request is created. Can be limited to specific assets. Driver, Operator, Technician, Supervisor, Maintenance Admin, Asset Manager, Administrator
Request Expected Start Due Sent when a Request is due to start within the next 24 hours. Technician, Supervisor, Maintenance Admin, Asset Manager, Administrator
Safety Certificate Due Sent when a Safety Certificate on an asset is one month from expiry. Technician, Supervisor, Maintenance Admin, Asset Manager, Administrator
Scheduled Registration Due Sent when an asset's registration is one month from expiry. Technician, Supervisor, Maintenance Admin, Asset Manager, Administrator

Temporary Allocation Expiry Sent when a Temporary Allocation has one month remaining before its expected expiry. Technician, Supervisor, Maintenance Admin, Asset Manager, Administrator
