Importing and Updating Data

Formbird FLEET provides several tools for bulk-updating and importing data. The right tool depends on what you're updating and how much data is involved.

Bulk Update Assets

The Bulk Update tool updates common asset fields across multiple assets at once.

Navigate to: System Administrator Menu → Asset Management → Bulk Update

The following fields can be bulk updated:

Steps

1. Select which fields to update by clicking the relevant buttons. This displays the update fields in the Enter Updates section.
2. For each selected field, choose what happens if the update field is left empty:
3. Keep value — the asset's existing value is unchanged (default, recommended).
4. Delete value — if no data is entered, the value is removed from the asset. Use with care.
5. Enter the new values for the selected fields.
6. Select the assets to update by clicking their rows in the table (avoid the link text in the Asset Name column). Click a selected row again to deselect it.
7. Select Verify Update to preview the changes. The table shows each selected asset alongside its current value and the new value. Errors are shown here if a field does not exist on an asset's template, or if a related document value is not valid for that asset.
8. Select Update to apply the changes. The update runs in the background and will continue even if you navigate away from the page.

Applying multiple field changes to a selection of assets in one operation is supported, but increases complexity and the risk of mistakes. Consider updating one field at a time for large batches.

Updating Business Days / Times or Available for Hire Days / Times

These two fields require a different flow because they combine day selection and time inputs:

1. Select the assets to update by clicking their rows.
2. Select the applicable days.
3. Enter the Day Start Time and Day End Time.
4. Select Update.

Bulk Update Meter Readings

The Meter Update tool imports asset meter readings from a CSV file, matching records by Asset ID or registration number. Use this for one-off corrections or bulk meter updates — for example, after a telematics migration or to reconcile readings following an import error.

Navigate to: System Administrator Menu → Asset Management → Meter Update

1. Select an existing Mapping Document that matches your CSV file format. If none exists, create one using the icon to the right of the Mapping Document field.
2. Confirm the mapping document matches your CSV column structure.
3. Drag your CSV file onto the upload area, or select Choose Files.
4. Check Ignore Header Line if your CSV file includes a heading row.
5. Select Validate Data and review any errors before proceeding.
6. Select Import Data to apply the changes.

Document Data Import

The Document Import tool is an advanced admin tool for importing or updating any document type in Formbird FLEET from a CSV file. It supports creating new documents and updating existing ones across multiple template types in a single file.

Navigate to: System Administrator Menu → [VERIFY navigation path]

This tool requires a specifically formatted CSV where the first column of each data block contains a map: row identifying which field to use for document lookup (e.g. map:documentId or map:assetId). Subsequent rows contain the data to import.

This is an advanced tool primarily used for data migrations and bulk operations that go beyond what the standard bulk update tools support. Contact Formbird Support for assistance with complex imports.
