Business Roles
A Business Role is a configurable label applied to user accounts to categorise staff for reporting and display purposes. Business Roles are separate from account types — they do not affect what a user can access or do in the application. They exist solely as a way to record and report on the organisational role a person holds.
Examples might include roles like "Fleet Officer", "Works Coordinator", or "Mechanic" — whatever categories are meaningful to your organisation.
Only Administrators can create and manage Business Role records.
Where Business Roles Appear
On user accounts
Business Role is set in the User Business Role Details panel on a user account. It is displayed on asset records where that user is the Responsible Person, and is used when reporting on allocations.
Business Role can be updated across multiple accounts at once using the Account Bulk Update tool. Learn more about Accounts.
Note: Business Role cannot be set on Driver, Operator, or External Supplier accounts. These account types do not have a User Business Role Details panel.
In reports
Business Role appears as a data point in allocation and staff-related reports, alongside Department, Section, and other account fields.
Creating a Business Role
Only Administrators can create Business Role records.
- From the System Administrator Menu, open the System Administration dropdown and select Account Management.
- Select Account Reference Data to scroll to that section.
- Select New Role.
- In the Details panel, enter a Role Name.
- Select the save tick to save the record.
The new role is immediately available to select in the Business Role field on user accounts.
