Meter Reading Errors
Formbird FLEET updates asset meter values nightly using data from telematics, Fuel Receipts, and Daily Driver Check Sheets. Built-in error checking filters out readings that appear incorrect before they can affect the asset. For an overview of how the nightly update works, see Meters.
Despite these checks, incorrect meter readings can occasionally be applied to an asset — typically due to data entry errors or an asset not being set up with the correct range and capacity values. When this happens, both the source document and the asset meter must be corrected.
Impact of an Incorrect Meter Reading
An incorrect meter reading on an asset can have flow-on effects beyond the asset record itself. If the incorrect value is significantly higher than the actual meter, it may trigger the automatic creation of preventive maintenance service requests ahead of schedule.

Correcting a Meter Reading Error
Correcting a meter reading error requires two steps: fixing the source document and fixing the meter value on the asset. If only one is corrected, the error is likely to recur or the asset will still carry the wrong value.
Step 1 — Find and Correct the Source Document
Identify which source document contains the incorrect reading:

Open the source document and update it with the correct meter reading value. For Fuel Receipts, also resolve any error flags by unchecking the relevant error boxes.
The Fuel Receipt Error Checking and Daily Driver Meter Error Management reporting tools can be used in place of opening individual documents. These tools display flagged readings in a single view and allow corrections to be made without navigating to each source document individually.

Step 2 — Correct the Meter Value on the Asset
After correcting the source document, check the meter readings displayed on the asset itself. If the asset still shows the incorrect value, update it manually:
- Navigate to the asset.
- Locate the meter field showing the incorrect value (Primary Meter or Secondary Meter).
- Enter the correct value.
- Save the changes.
Readings Lower Than the Actual Value
If the incorrect reading on the source document is lower than the actual meter value, the asset's meter was likely not updated with the incorrect value — because the nightly process only applies a reading if it is higher than the current asset value. The asset meter should still be checked for accuracy.
Readings Higher Than the Actual Value
If the incorrect reading is higher than the actual value, it is likely that the asset's meter was updated with the wrong figure. This is the more serious scenario and requires both corrections described above.
If assets are configured with the correct range and tank capacity values, Formbird FLEET can identify unusually high readings on Fuel Receipts and flag them with errors before they update the asset. Assets without these values configured are more susceptible to incorrect updates.
If Incorrect Readings Have Triggered Service Requests
If the incorrect meter value has already caused preventive maintenance service requests to be created, those requests need to be reset. After correcting the reading on both the source document and the asset:
- Lodge a support ticket with Formbird Support.
- Include a link to the asset and the asset's ID.
- Include a link to the corrected source document.
Formbird Support will delete the incorrectly created service requests and reset the service configuration so it can trigger correctly in future.
